Participant Agreement for MEGA’MIND

This Participant Agreement ("Agreement") governs your participation in MEGA’MIND ("the Program"). By registering for and participating in MEGA’MIND, you agree to the terms and conditions set forth below.

1. Eligibility

You confirm that you meet all eligibility requirements to participate in the Program and are legally authorized to participate. You are responsible for ensuring that your participation complies with all applicable laws and regulations.

2. Submission of Materials

By submitting your presentation, clinical cases, patient information, photos, videos, or any other materials ("Materials") for the Program, you agree to the following

    ● You have obtained all necessary consents, permissions, and rights for any clinical data, patient information, or images included in your submission.
    ● The Materials do not infringe upon any third-party rights, including but not limited to copyright, trademark, or privacy rights.

3. Use of Clinical Data and Patient Information

By participating in the Program, you acknowledge and agree to the following

    ● You grant the Program organizers full rights to use, display, and distribute any clinical data, patient information, photos, videos, and other materials related to your participation, as described in the Privacy Policy.
    ● You understand that the Program organizers may use these Materials for promotional purposes, including but not limited to social media platforms such as Instagram, YouTube, Facebook, and other marketing materials.

4. Copyright and Ownership

You retain all copyrights to your original works (e.g. papers, presentations, and materials) submitted for the Program. However, by submitting your materials, you grant the Program organizers a royalty-free, perpetual, non-exclusive license to use, share, and distribute your Materials for the purposes of the Program, including promotional activities, event broadcasts, and online sharing.

The Program organizers are not responsible for any copyright or intellectual property issues related to the Materials you submit.

5. Social Media Usage

You acknowledge and agree that any clinical cases, images, or videos submitted by you as part of your participation may be freely used, shared, and distributed by the Program organizers across social media platforms (including but not limited to Instagram, YouTube, and Facebook) for promotional purposes.

These materials may be publicly available and used without further consent or compensation.

6. Liability and Indemnification

You agree to hold the Program organizers harmless from any claims, losses, damages, or liabilities arising from

● Your submission of Materials that infringe upon the intellectual property rights or privacy of third parties.
● Any violation of the terms of this Agreement or the Privacy Policy.
● Any use of your submitted Materials for promotional or public purposes, including distribution through social media platforms.

You agree to indemnify and defend the Program organizers against any third-party claims arising from the breach of your representations, warranties, or obligations under this Agreement.

7. Publication and Copyright of Casebook

● You acknowledge and agree that, following the conclusion of the Program, a casebook featuring selected clinical cases and presentations from the Program will be compiled and published by the Program organizers.
● You grant the Program organizers the right to include your submitted content (clinical data, images, case descriptions, etc.) in the casebook and acknowledge that the copyright of the final publication will be fully owned by the organizers and MG NEWTON.
● Only participants whose final presentations are 10 minutes or longer will be eligible for inclusion in the casebook. Cases presented for less than 10 minutes will be excluded from publication, regardless of quality or content.

8. Program Structure and Rounds

The 15-Minute Presentation Tournament Program consists of three progressive stages :

  • National Round

  • Continental Round

  • Final Round

Participants advance through each round based on evaluations by a panel of judges designated by the Program organizers.

Participants may present cases that have previously been presented at other academic meetings, conferences, or previous MEGA’MIND competitions during the National Round and Continental Round.

However, participants who present:

  • cases that have NOT previously been presented at other academic meetings or previous MEGA’MIND competitions; and

  • cases that have NOT been previously published in journals, papers, or other publications

may receive additional evaluation benefits or extra credit, subject to the judging criteria of each season.

All participants advancing to the Final Round must present entirely new cases.

For the Final Round:

  • the presented case must not have been previously presented at any academic meeting or previous MEGA’MIND competition; and

  • the presented case must not have been previously published in any journal, paper, or publication.

Failure to comply with these requirements may result in disqualification at the discretion of the Program organizers.

 

National Round participants shall generally compete within the country of their residence.

If there are three (3) or more eligible participants within the same country, a National Round may be organized specifically for that country. The format of the National Round (online or offline) shall be determined by the local Mega’Gen office or the Program organizers.

National Round advancement shall generally follow a 1:3 ratio, meaning approximately one (1) participant may advance to the Continental Round for every three (3) participants in the applicable National Round.

If fewer than three (3) participants are registered within a country, participants may be merged into a regional or combined National Round together with nearby or affiliated countries, as determined by MEGA’MIND HQ. In such cases, the competition may be conducted online under the supervision of MEGA’MIND HQ.

The format of each competition stage shall generally be as follows:

● National Round: Online or offline, depending on the decision of the applicable Mega’Gen office or Program organizers.
● Continental Round: Online format, except for Korea and China, which may be conducted offline.
● Final Round: Offline format.

If a participant is unable to attend the Final Round in person due to circumstances beyond the participant’s reasonable control, including but not limited to:

  • visa denial,

  • war,

  • natural disasters,

  • governmental restrictions,

  • or other force majeure circumstances,

the Program organizers may permit the participant to participate in the Final Round online at their discretion.

If a participant who has qualified for advancement to the Final Round declines participation more than two (2) months before the Final Round event date, the next highest-ranked participant from the applicable Continental Round may be selected as a replacement participant.

If a qualified participant withdraws within two (2) months prior to the Final Round event date, the vacancy may remain unfilled at the discretion of the Program organizers.

Under normal circumstances, three (3) participants from each Continental region may advance to the Final Round, for a total of twenty-one (21) Final Round participants. However, if a vacancy occurs within two (2) months prior to the Final Round and no replacement participant is selected, the Final Round may proceed with fewer participants.

All participants who are granted qualification or advancement rights for any round of the competition must confirm their participation status with MEGA’MIND HQ within the designated period announced by the Program organizers.

Failure to confirm participation within the required period may result in forfeiture of advancement eligibility or participation rights.

9. Awards and Benefits by Round

National Round Winners will receive :

● A cash prize amount to be announced separately by the Program organizers for each season; and
● An invitation to participate in the appropriate Continental Round.

The prize amount may vary by season and is subject to change at the discretion of the Program organizers.

Continental Round Winners will receive :

● A round-trip economy class flight from the winner’s place of residence to the Final Round venue (if applicable; not provided for local participants),
● Accommodation during the Final Round event dates (if applicable; not provided for local participants),
● Complimentary registration for the Mega’Gen International Symposium held in conjunction with the Final Round

🔴 IMPORTANT
 

Continental Round winners must attend the Final Round in person (offline attendance mandatory) in order to receive the associated benefits.

If a winner is unable or unwilling to attend the Final Round in person for any reason, all associated benefits shall be deemed automatically forfeited.

No cash alternative, substitute compensation, reimbursement, or alternative prize of any kind will be provided in place of the forfeited benefits.

Additional Terms for Continental Round Winner Benefits

All benefits related to airfare, accommodation, symposium registration, and related support apply to the participant only.

Accompanying persons are permitted; however, all expenses related to accompanying persons shall be solely borne by the participant.

Airfare Policy

● Airfare coverage is limited to the participant only and economy class only. Seat selection fees will not be covered.

● Only round-trip airfare between the participant’s city of residence and Toronto will be covered.

● All tickets must be issued in accordance with the deadlines and policies announced for each season of MEGA’MIND.

● If tickets are issued after the applicable seasonal deadline, reimbursement will be based on the airfare rate available as of the designated policy date announced for that season, in accordance with organizer policy. Airfare pricing and reimbursement standards shall be based on the rates provided by the travel agency contracted by the Program organizers.

Ticketing Methods

Participants may choose one of the following ticketing methods:

1) Self-booking

Participants may independently purchase airfare tickets and submit the following documents via email for reimbursement:

● Receipt
● E-ticket confirmation

2) Booking through the organizer’s contracted agency

Participants must provide the following information:

● Arrival date in Toronto
● Departure city / airport
● Departure date from Toronto
● Copy of passport

If a participant wishes to request seat upgrades, higher-class tickets, or use mileage points, the participant must either:

  • arrange the booking independently; or

  • separately consult with the organizer’s contracted travel agency.

Regardless of the booking method selected, the Program organizers will only cover the approved round-trip economy class airfare amount based on the organizer’s contracted agency quotation. Any additional costs, upgrades, fare differences, mileage-related charges, or optional services shall be solely borne by the participant.

Certain airfare tickets may be non-refundable or non-changeable according to airline policies and seasonal ticketing conditions.

Except in cases caused by natural disasters, airline cancellation, or circumstances directly attributable to the airline, any cancellation fees, change fees, penalties, or additional costs resulting from the participant’s personal circumstances shall be solely borne by the participant.

If the participant cancels participation within one week prior to the event, all related cancellation fees and penalties shall be the sole responsibility of the participant.

Accommodation Policy

Accommodation support is limited to the participant only.

Accommodation duration may vary by season depending on the schedule of the associated MEGA’MIND events and symposium programs. The Program organizers may provide accommodations based on the official schedule announced for each season (for example, 3 nights/4 days or 4 nights/5 days).

The Program organizers will cover room charges and applicable hotel taxes only.

Any additional charges, including but not limited to:

  • additional occupancy fees,

  • accompanying guest fees,

  • breakfast charges for accompanying persons,

  • room upgrades,

  • extended stay charges,

  • minibar,

  • room service,

  • incidental hotel expenses,

  • transportation,

  • or any other personal expenses

shall be solely borne by the participant.

If a participant wishes to extend their stay or request room upgrades, the participant must contact the hotel directly. The Program organizers will only cover the standard accommodation cost originally designated for the participant. Any difference in price or additional costs shall be paid by the participant.

The Program organizers may assist in connecting participants with the hotel; however, the Program organizers shall not be responsible for any hotel-related issues, disputes, losses, reservation problems, or service matters.

If accommodation is canceled within one week prior to the event, any applicable cancellation penalties or fees shall be the sole responsibility of the participant.

Registration and Event Benefits Policy

Complimentary registration benefits for symposiums, conferences, associated events, or parties are limited to the participant only.

Any registration fees, party fees, meal costs, or additional expenses related to accompanying persons shall be solely borne by the participant.

Final Round Winners (Grand Prize Winners) will receive:

  • A grand prize of USD 5,000,

  • An exclusive opportunity to deliver their winning Final Round presentation on the Main Podium at the Mega’Gen International Symposium,

  • A fully sponsored opportunity to participate in the prestigious MUST Training Program,

  • Appointment as a MINEC Knight

SEED Benefit Policy

Participants who advance to and present at the Final Round, but do not win the Final Round, may be granted a SEED benefit for the immediately following season.

The SEED benefit allows the participant to skip the National Round and advance directly to the Continental Round of the next season.

Eligibility for the SEED benefit is subject to the following conditions:

● the participant must have actually completed and delivered their presentation during the Final Round; and
● the participant must register for the immediately following season of MEGA’MIND.

If the participant does not register for the immediately following season, the SEED benefit shall automatically expire and cannot be transferred, deferred, or extended to future seasons.

Each registration must be made under the name of a single individual. Any and all prizes associated with the competition will be awarded exclusively to the individual whose name appears on the official registration.

All awards, prizes, sponsorships, benefits, and participant support programs described herein are subject to change, modification, or cancellation at the discretion of the Program organizers due to internal circumstances or operational considerations.

Prize Payment and Bank Information Policy

Prize payment procedures apply to winners eligible for monetary prizes, including but not limited to National Round Winners and Final Round Winners.

Participants may be required to submit bank account and payment-related information following the conclusion of the applicable competition round.

Bank information submitted after the National Round may be retained and reused by the Program organizers for subsequent prize payments, including Final Round prize payments, and participants may not be asked to resubmit the same information unless updates or corrections are required.

All submitted personal and banking information will be used solely for prize remittance and payment-related administrative purposes and will not be used for any other purpose.

Deadline:

● The required payment information form must be submitted by the deadline designated for each season of MEGA’MIND.
● If the participant fails to submit the required information by the applicable deadline, the participant shall be deemed to have voluntarily waived the right to receive the applicable prize.

Important Notes:

● The bank account submitted must be under the participant’s own legal name. Third-party accounts are not permitted.

● The Program organizers are not responsible for any issues, delays, transfer failures, or losses arising from incorrect, inaccurate, or incomplete information submitted by the participant.

● If a bank transfer must be reversed, returned, or corrected due to participant error, the Program organizers will not cover any associated bank charges, return fees, intermediary bank fees, or administrative costs.

● If a participant requests that the prize payment be resent following a failed transfer attempt, all additional transfer fees and related banking charges may be deducted from the total prize amount.

● In countries or situations where international remittance from the Republic of Korea is restricted, unavailable, or not reasonably possible, the prize may be provided in cash at the discretion of the Program organizers.

● In cases where cash payment is provided, the participant may be required to submit identification and personal verification documents, including but not limited to:

  • passport,

  • legal name,

  • residential address,

  • or other identity verification documents requested by the Program organizers.

● Participants receiving cash payments may also be required to sign a receipt, confirmation form, or acknowledgment document confirming that the prize amount has been received in full.

10. Program Modifications and Cancellations

The Program organizers reserve the right to modify, cancel, or reschedule the Program, including the dates, location, and format, at their sole discretion.

If any changes are made, participants will be notified promptly.

All registration deadlines, competition schedules, event periods, and related timelines shall be announced separately for each season of MEGA’MIND.

The Program organizers reserve the right to modify such schedules, deadlines, event periods, formats, awards, benefits, sponsorships, or related details due to internal circumstances or operational requirements without prior notice.

The Program organizers reserve the right to interpret and apply all rules, eligibility requirements, judging standards, awards, benefits, and participation policies at their sole discretion.

All decisions made by the Program organizers shall be final and binding.

11. Governing Law and Dispute Resolution

This Agreement shall be governed by and construed in accordance with the laws of The Republic of South Korea. Any disputes arising from or in connection with this Agreement shall be resolved through a dispute resolution process (e.g. arbitration, mediation) in accordance with the laws of the Republic of South Korea.

12. Acknowledgment and Consent

By registering for and participating in the Program, you acknowledge that you have read and understood this Agreement, and you agree to abide by all of its terms and conditions.

You also acknowledge that you have read and understood the Privacy Policy, which governs how your personal information and Materials will be used.
